We've put a lot of research and testing into developing a reliable and effective structure for cold email outreach.
And, because we're in the process of building and deploying a new cold email system for one of our clients, we dusted off our best template and made some updates.
Instead of letting it collect dust again, we decided to share it with you.
There are a lot of reasons why this cold email template structure works, including the specific CTA, but a deep dive into the psychology will have to wait until another post.
Also, we're 100% certain that the email we end up with after testing & optimization will be different from the current draft. The words will definitely change, but the general structure is likely to remain the same.
Here is the cold email template we like to start with…

Hi ((first name)),
I'm reaching out to share the story of one of our customers – XXXXXXX (large XXXXXXX in PA).
The clinical management team at XXXXXXX struggled for years to:
1) Accurately log XXXXXXX and encounter outcomes
2) Alert staff supervisors when XXXXXXX are XXXXXXX or out of range
3) Facilitate XXXXXXX
XXXXXXX helped XXXXXXX migrate their 200+ sites from XXXXXXX to our web-based XXXXXXX software (XXXXXXX).
This was done quickly and easily through a simple process supported by a dedicated XXXXXXX Project Manager (PM).
XXXXXXX eliminateD all three of the challenges the XXXXXXX team struggled with for years. Here's what XXXXXXX from XXXXXXX had to say about it…
“The rollout of XXXXXXX has been very successful. XXXXXXX has been implemented at over 200 sites. We’re now able to XXXXXXX with an accurate log of XXXXXXX and the outcome of the encounter. The system alerts staff supervisors when XXXXXXX or out of range. The XXXXXXX allows us to XXXXXXX.” – XXXXXXX XXXXXXX, Chief Information Officer, XXXXXXX, PA
XXXXXXX from XXXXXXX is not alone. These are the same results all of our customers achieve with our help.
((firstname)), do you want to explore how XXXXXXX can help ((organization)) reduce XXXXXXX errors, improve workflows, and maximize staff efficiency like we do for XXXXXXX (and hundreds of others)?
If yes – please respond to this email and I'd be happy to reply with more information.
Thank You,
XXXXXXX XXXXXXX, COO, XXXXXXX
